A full CRM lead tracker built in Google Sheets — color-coded by status, sortable by priority and follow-up date, with agent assignment and a notes column for each client.
Purpose: Ensure all carrier policy downloads are processed accurately, matched to the correct client record, and flagged for discrepancies — without requiring agent supervision at each step.
Navigate to EZLynx → Downloads tab. Sort by date received (oldest first). Do not skip items even if they appear to be duplicates — flag instead.
Verify: (a) policy number matches carrier document, (b) insured name is spelled correctly, (c) effective date is current. All three must match before proceeding.
Open the matching client record. Attach the downloaded file under the correct policy line. Rename the file using the format: LastName_PolicyNum_EffDate.
If any field does not match, write a note in the Agency Notes field with the exact discrepancy. Notify the assigned agent via Slack: @agent "Download discrepancy on [ClientName] — see EZLynx notes."
Mark the download as processed in the queue. Update the shared Daily Download Log (Google Sheets) with: Client Name, Policy #, Status (Completed / Flagged), and timestamp.
Before logging off, confirm the queue is at zero unprocessed items. Send EOD summary to agent/principal via email listing total processed, total flagged, and any pending actions.
